Gemini: Unlock Google Docs/Sheets Hidden Power

You might have heard that the paid version of Google Gemini can now analyze Google Docs and Sheets, yet 90% of people are using it incorrectly.

The basics

Gemini Advanced users can now include a Google Doc or Google Sheet file as part of their prompt by either searching for the name of the document or pasting the URL directly:

The most common (and basic) use case is to ask Gemini to summarize the file or share key takeaways.

Although that's a valid use case, using documents to "ground" Gemini's outputs can enhance productivity.

What is “Grounding”?

Grounding involves connecting the LLM's responses to external data sources, predefined knowledge bases, or in our case, Google Docs and Google Sheet files.

By anchoring responses to verified sources, the likelihood of generating incorrect or misleading information (i.e. hallucinations) is reduced.

Actual use case

As a first step, I still ask Gemini to summarize a text-heavy document (a Request for Proposal in this case) and give me a few key takeaways.

The magic happens in step 2: I then prompt Gemini to write an email responding to the Request for Proposal (RFP).

Notice that although I used a short prompt, the output is still extremely relevant and targeted because it had access to the RFP document.

Put simply, had I not been able to attach the document as reference, I would have had to summarize the RFP document myself within the prompt first before asking Gemini to write an email.
