[Workspace] Focus Time, Time Insights, Guest view in Meet

Workspace editions only apply for Google Business users, and are sent in addition to the regular weekly Productivity Pings (meant for individuals). Let me know if you want more or less of this

Protect your schedule with Focus Time 🎧 in Calendar

  • In the book “Make Time” the authors remind us that reacting faster to other people’s priorities is not necessarily being productive
  • If your team culture allows, use the Focus Time feature within Google Calendar to block off time for deep work. New meetings will be automatically declined but feel free to include a polite message 😉
  • Once you find a time that works (for you and the team), make it a recurring event and do not make exceptions to show you are serious about protecting your time

Free up time with Time Insights tool

First, group your recurring meetings by whether you’re the meeting owner or just a participant, and assign a color to each type.

For example, "Recurring-Jeff" represents meetings where I'm the owner, and "Recurring-Team" means I'm a participant

If you click on “More Insights” under “Time Insights,” you will see a breakdown in the number of hours you spend in recurring meetings

Towards the end of every quarter, review all recurring meetings where you are the participant, and ask yourself whether you really need to attend that meeting, or can you delegate that to someone else or better yet, just be looped in via email?

After going through this exercise myself for the past 2 quarters, I’ve cut my “yellow meetings” down from 3 hours a week to 1.5

View Google Calendar guests in 1 place

The next time you’re in a Google Meet call with a larger group, there’s no need to switch back-and-forth between Meet and Calendar to see who has yet to join

Simply click the People icon in the bottom right to see who has joined and who’s missing
